Vantastic Barber — Privacy Policy

Vantastic Barber is a business of AGS Mahal Pty Ltd, ABN 81 633 291 782 ("we", "us", "our").

This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access or correct it. It covers our website, our bookings, our Vantastic Club Membership, and the security cameras in our vans.


A note on how this policy applies. Businesses with an annual turnover of $3 million or less are generally exempt from the Privacy Act 1988 (Cth). We are below that threshold. We have chosen to handle personal information in accordance with the Australian Privacy Principles anyway, and we treat this policy as binding on us. Separately, the security cameras in our vans are regulated under the Surveillance Devices Act 1999 (Vic), which applies to us regardless of our size.



1. What we collect

Information you give us when you book or join


  • Your name, mobile number and email address

  • The address where we will supply the service

  • Parking and access details for that address

  • Booking history, service preferences and any notes our barber makes about your haircut


Payment information


  • Payment records, receipts and Membership billing history

  • We do not store your full card number. Card details are handled by Square (see section 4)


Health and safety information you choose to give us


  • Allergies, skin sensitivities, scalp conditions or other health information relevant to the service

  • We ask for this only so we can perform the service safely. You can decline to give it, though we may not be able to use certain products if you do

  • This is sensitive information. We collect only what is necessary, keep it separate from marketing data, and never disclose it for any purpose other than performing your service safely


Camera footage from our vans


  • Video and audio recorded inside our vans while a service is in progress

  • See section 6, which deals with this in detail


Communications


  • Emails, SMS messages, phone enquiries and complaints


Website and technical information


  • IP address, browser and device type, pages viewed, and how you reached our site

  • Collected through cookies and analytics tools (see section 8)


We do not collect government identifiers, and we do not ask for information about your race, religion, political views, sexual orientation or criminal record.

2. How we collect it

Mostly directly from you — through our booking form, your account, phone calls, emails and SMS, and in conversation with your barber.


Camera footage is collected automatically by equipment installed in our vans. We tell you about this when you book, in your booking confirmation, and on a notice inside the van.


Website information is collected automatically when you visit our site.


Occasionally we receive information from someone else — for example, when a parent books on behalf of a child, or a partner books on your behalf. If you are booking for someone else, please make sure they know their details are being given to us.

3. Why we use it

We use personal information to:


  • take, confirm, schedule and deliver your bookings

  • reach you on the day of your appointment

  • process payments and issue receipts

  • run the Vantastic Club Membership, including issuing your Monthly Credit, applying your Member Discount, charging your renewal and sending expiry reminders

  • perform the service safely, including responding to allergies and health information you have given us

  • protect the safety of our staff and customers, and investigate incidents (section 6)

  • respond to enquiries and complaints

  • meet our tax, insurance and other legal obligations

  • improve our services and, where you have consented or where you are a Member and the message is directly relevant to your Membership, send you marketing


We do not sell personal information. We do not disclose it to anyone for their own marketing purposes.

Access by developers outside Australia. Although our data is hosted in Sydney, 4k Hoop Pty Ltd may engages software developers located outside Australia who may need access to the system to build, maintain and support it. We require 4k Hoop to restrict that access to what is necessary, and to impose confidentiality and data protection obligations on anyone who has it.


Overseas storage or access. Taking the above together, your information may be stored in or accessed from Australia, the United States.

5. Marketing

We only send marketing by SMS or email where:


  • you have given us express consent — for example by ticking the marketing box when you book or join; or

  • you are a Vantastic Club Member and the message is directly relevant to your Membership.


Agreeing to our Terms and Conditions is not consent to marketing. It is a separate choice, and declining has no effect on your booking, your Membership, your price or your benefits.


You can opt out at any time by replying STOP to any marketing SMS, clicking unsubscribe in any marketing email, or emailing us. Opting out is free, takes effect within 5 business days, and applies to all our marketing.


You will still receive messages necessary to deliver your booking or Membership — confirmations, receipts, failed-payment notices and cancellation confirmations.

6. Cameras in our vans

We record video and audio inside our vans while a service is being supplied.


Why. To protect the safety of our staff and customers, to investigate and provide evidence of an incident, injury, threat, theft or damage, to respond to a complaint or insurance claim, and to meet our occupational health and safety obligations to barbers who work alone in a confined space.


What we do not use it for. We do not use footage for marketing, staff performance monitoring, training or social media. We do not monitor the cameras live.


Telling you. We tell you when you book, in your booking confirmation, and on a notice inside the van.


Your right to decline. If you do not want to be recorded, tell the barber before the service starts. You may cancel at that point and receive a full refund, with no cancellation fee. We will not treat you differently for declining.


Children. Where the service is for a person under 18, the parent or guardian present must consent on the child's behalf. The same right to decline and receive a full refund applies.


Who can access it. Access is limited to Director and manager. Access is for the purposes above only.


How long we keep it. Footage is automatically deleted after 30 days, unless it has been retained for a specific incident, complaint, claim or proceeding, in which case it is kept only as long as needed for that purpose.


Disclosure. We will only disclose footage to police or another law enforcement or regulatory body where required or authorised by law; to our insurer or lawyers in connection with a claim; to a court or tribunal; or with the consent of everyone recorded. We will not publish footage or post it on social media.


Your right to see footage of yourself. Email us and we will respond within 30 days. We may refuse or redact where releasing footage would unreasonably affect another person's privacy, and we will explain why.

8. Cookies, analytics and advertising

Our website uses cookies and similar technologies. Some are necessary to make the site work and to keep your booking session active. Others are used for analytics and advertising:


  • Google Analytics tells us how the site is used — which pages people visit and how they got there.

  • Meta Pixel measures the performance of our Facebook and Instagram advertising, and can be used to show ads to people who have visited our site.


These tools involve information being sent to Google and Meta, both of which are based in the United States.


We do not send health, allergy or booking-note information to Google or Meta. These tools are configured for website analytics and advertising measurement only.


You can control cookies through your browser settings, opt out of Google Analytics using Google's browser add-on, and manage ad personalisation in your Facebook and Instagram settings. Blocking non-essential cookies will not stop you from booking with us.

9. Security

  • Our booking platform is hosted on Digital Ocean infrastructure in Sydney, operated by 4k Hoop Pty Ltd under a written services agreement

  • Access to customer data is limited to people who need it

  • Card details are handled by Square and are not stored by us

  • Camera footage is stored securely with restricted access

  • We require our service providers to protect information they hold for us


No system is completely secure. If a data breach occurs that is likely to cause you serious harm, we will notify you and take steps to reduce the harm.

10. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, or ask us to correct it, by emailing info@vantasticbarber.com.au.


We will respond within 30 days. There is no charge for making a request. If we refuse, we will explain why and how you can complain.


You can also ask us to delete information we no longer need, and we will do so unless we are required to keep it — for example, tax records.

11. Complaints

If you think we have mishandled your personal information, email info@vantasticbarber.com.au. We will acknowledge within 2 business days and aim to respond within 30 days.


If you are not satisfied, you can complain to the Office of the Australian Information Commissioner — oaic.gov.au, 1300 363 992.


For concerns about the cameras specifically, you can also contact Consumer Affairs Victoria — consumer.vic.gov.au, 1300 55 81 81.

12. Changes to this policy

We may update this policy. The current version is always on our website with its effective date. If we make a significant change to how we handle your information, we will tell Members by email and SMS.

Appendix A — Collection notice for the booking form

Place this on the booking page, visible before the payment step. A link to the privacy policy alone is not enough — the notice has to appear at the point of collection.


How we use your details


We collect your name, contact details, address and parking information so we can confirm your booking, get to you, and process payment. Our booking system is operated by 4k Hoop Pty Ltd and hosted in Sydney; payments are processed by Square; text messages are sent through Touch SMS.


Our vans record video and audio inside during your appointment, for safety and incident evidence. Footage is deleted after 30 days. If you'd rather not be recorded, tell your barber before we start and you can cancel for a full refund.

Appendix B — Notice for inside the van

Print and mount at eye level near the door, and repeat as a smaller decal at the chair. Text should be legible from the doorway.

Why: safety of our customers and staff, and evidence if something goes wrong. Kept for: 30 days, then deleted automatically. Not used for: marketing, social media, or monitoring our staff.
